Being an event planner can be a very stressful job and we often overlook our personal wellbeing.
We’ve been thinking of ways to support event planners in choosing a venue and running an event. Here’s our top 10 tips from our very own Head of Business Tourism, Jennifer Jensen.
1. Work with a Convention Bureau
Share the workload! Convention Bureaus’ are here to help and should be your first port of call when running an event. A wealth of local knowledge and contacts means that the team at your local convention bureau can offer support and expertise that you can’t find anywhere else. They can take the headache out of sourcing and negotiating with venues for you and can run accommodation booking services for your delegates.
In Liverpool all these services are completely free of charge – which makes it even better!
2. Location, Location, Location
Keep things simple. Choose a destination that is easy to get to and to get around. A city like Liverpool offers a wide range of options for delegates as it is well connected by rail, road, air and even sea! Once here, the city centre is so compact that you can easily walk from hotels to venues without the need for additional transport. Alternatively, use a local transport provider if you need to who can manage all your airport transfers for you without you having to lift a finger. One less thing for you to worry about!
3. Here comes the sun
Your choice of venue can make all the difference to your delegates’ experience and wellbeing. Does it have natural daylight? Does it have an outdoor space for team building or for refreshment breaks? Liverpool is fortunate to be surrounded by beautiful green spaces and we have a wealth of venues that offer the opportunity to really escape.
Sefton Park Palmhouse in Liverpool is a great example of a stunning venue set in a beautiful park, offering a calm and inspiring location for your delegates.
4. Tech -tastic
We know how stressful it can be when technology lets you down in an event. Work with providers you can trust. Talk to the local convention bureau and they will be able to point you in the right direction for local, reliable AV companies who know the venues well and will work in partnership with you to create stunning backdrops for your event.

You can’t do everything by yourself! Make sure you’re working with a venue you can trust and who will work with you as a partner.

6. Catering for health
Delegates are looking for varied menu choices, healthy options and vegan diets. Working with venues and caterers to create unique menus that keep your delegates (and your event management team!) refreshed will help keep energy levels up and hopefully lead to improved engagement in conference and seminar sessions. Your convention bureau can recommend caterers who can create bespoke menus to suit your event.
7. Get Active
How about a 5k morning run for delegates? Or how about a yoga session? We all know the health benefits of getting active so why not try to include 30 mins of exercise for your delegates.
Here in Liverpool we have worked with conference organisers to provide 5k running routes, an added bonus can be working with a local charity to help raise funds and support the local community.
8. Have some fun
Nowadays, experience is everything, so why not bring something fun and engaging into your event? Keeping delegates happy will keep you happy, and so everyone is happy! It’s a win-win all round. Whether it’s gin tasting, pizza making or playing sports, there are so many different activities to choose from in whichever city you may be holding your event.

9. Relax and revive
Event Managers often don’t get a minute to relax! While your event is on, it’s important you choose a hotel close to your venue(s), or even better, right on site! Equally, it’s a good idea to make sure there are places in your conference venue for your delegates to take a break, have some quiet time or relax with a cuppa.
Fortunately in Liverpool, if you hold your event at ACC Liverpool you can choose from fantastic onsite hotels – Pullman Liverpool, Staybridge Suites and Jury’s Inn. They’re only a short walk across from the venue, but a place where you and your team can escape for some much needed rest and relaxation while your event is taking place.
10. It’s good to talk
Provide honest feedback to venues, destinations, hotels and suppliers. This is the only way to improve and ensure that they are offering the services and support that Event Managers need. Get it all off your chest – it’s good for the soul and can only help to make things better.
